Check the supplier before you pay a deposit.

Before you pay or confirm samples, check whether the company details, product capability, documents, communication, and order terms fit your project. Verification will not remove every risk, but it can catch obvious warning signs sooner.

01

Basic Company Information

Start with the basics: does the supplier’s company information look specific and consistent?

  • Company name in English and Chinese, if available
  • Business license or registration details
  • Registered address and operating address
  • Website, email domain, phone number, and contact person
  • Whether the company information is consistent across documents, website, platform profile, and invoice
02

Supplier Type and Business Role

Find out whether you are speaking with a manufacturer, trading company, exporter, or a mixed setup.

  • Ask whether the supplier owns a factory or works with partner factories
  • Check whether product photos and documents match the claimed business type
  • Confirm whether the supplier can support customization, packaging, or small-batch orders
  • Ask who will handle sampling, production follow-up, inspection, and shipment coordination
  • Avoid assuming every supplier on a platform is a direct manufacturer
03

Product Range and Capability

Look for product experience close to what you actually want to buy.

  • Review the supplier’s main product categories
  • Check whether your product is part of their normal range or a one-off request
  • Compare MOQ, lead time, material options, and customization limits
  • Ask for recent product photos, catalog pages, or sample references
  • Confirm whether they understand your target market requirements
04

Export Experience and Market Fit

Export experience can affect packaging, documents, communication, and shipment handoff.

  • Ask which markets or regions the supplier has exported to
  • Check whether they understand carton marks, packing lists, invoices, and basic export documents
  • Confirm whether they can work with your freight forwarder or shipping agent
  • Ask whether they have experience with your product category and target market
  • Be careful if the supplier cannot explain export documents or shipment handoff clearly
05

Documents, Certificates, and Claims

Documents need a careful look, especially when testing, certificates, or compliance claims are involved.

  • Ask for business license or company registration information
  • Review certificates, test reports, or compliance documents if required
  • Check whether documents match the company name, product type, and validity period
  • Be careful with unclear, expired, unrelated, or edited-looking documents
  • Do not rely only on certificates if product quality and production control still need checking
06

Communication and Response Quality

Supplier replies often show whether the team understands your order details.

  • Check whether replies are specific, consistent, and easy to verify
  • See whether the supplier asks useful questions about requirements
  • Compare how they explain MOQ, lead time, packaging, and payment terms
  • Be cautious if answers are vague, rushed, or only focused on payment
  • Keep important confirmations in writing
07

Payment, Terms, and Risk Signals

Before sending money, make sure the payment request and order terms make sense.

  • Confirm beneficiary name, bank details, payment terms, and invoice details
  • Check whether payment account details match the supplier or company information
  • Be careful with sudden changes to bank accounts or pressure to pay quickly
  • Review deposit, balance payment, production lead time, and shipment readiness terms
  • Do not pay before key product, packaging, and supplier details are confirmed
08

When Verification Is Not Enough

Supplier verification helps, but it does not replace an audit, production follow-up, or inspection.

  • Use supplier verification before payment or sampling
  • Use factory audit when larger orders or production capability need deeper review
  • Use sample confirmation before mass production
  • Use production follow-up when timing and order details matter
  • Use pre-shipment inspection before balance payment and shipment handoff
